Contacts and companies
Keep the people and organisations you sell to, link them to each other, and merge duplicates.
Contacts#
A contact is a person. Open Contacts and press the create button. Only the name is required.
| Field | Notes |
|---|---|
| Title | Their job title. |
| Email, secondary email, phone | Checked for a sensible format. Two contacts cannot share one email address. |
| A link to their profile. | |
| Company | The company they work for. |
| Reports to | Another contact, so you can see who works for whom. |
| Tags | Comma-separated, for example partner, conference. |
| Do not contact | Tick it for people who must not be contacted. A quick filter shows or hides them. |
| Owner | Who looks after the relationship. |
Companies#
A company is an organisation. Fields: website, industry, address (city, state, ZIP, country), employees, annual revenue, LinkedIn, tags, owner and a Parent company so you can model subsidiaries.
A company's card lists the contacts who work there and the deals attached to it. Reports group companies by industry and by size.
Merging duplicates#
If the same person or company has been entered twice:
- Open the duplicate you want to get rid of.
- Choose Merge into and pick the record to keep.
- Press Merge and Delete.
Everything that pointed at the duplicate (deals, leads, tasks, notes and, for companies, contacts) now points at the record you kept. Merging cannot be undone.
Deleting#
Deleting a contact or company that has linked deals, tasks or contacts shows a warning that lists what will be affected, so nothing disappears by accident.
