Records, notes and timeline
The card you get when you open any record, and the three tabs on it: tasks, notes and timeline.
The record card#
Click the name of any lead, contact, company, deal, product or task, anywhere in the app, to open its card. A card has two columns: the record's details on one side, and tabs for what has happened and what is next on the other.
Besides the fields you entered, every card shows Last activity, so you can tell at a glance whether anyone has touched the record lately. A deal card also shows how long it has been in stage. Custom fields appear in a More fields box.
Tasks tab#
The tasks tied to this record. Type a title in the box, optionally a due date as YYYY-MM-DD, and add it. It appears in Tasks too. Tasks can be tied to a lead, contact, company or deal.
Notes tab#
Free-text notes on the record: what was said on a call, what the customer asked for. Type in the Add a note… box and add it. Notes are up to 2,000 characters, and are shown with the date they were added. You are asked to confirm before deleting a note.
Notes can be added to leads, contacts, companies and deals.
Timeline tab#
Everything that happened to the record, newest first: who created it, who changed which field and from what, who reassigned it, converted it, merged into it, or linked it to a Jira work item. An edit reads like rating: Cold → Hot. Stage and status changes and owner changes get their own lines.
The timeline is part of the audit trail, which keeps the latest 500 entries for the whole app. On a busy site, very old entries drop off.
Deleting and merging#
Deleting a contact or company that has linked records shows a warning first. If you have entered the same customer twice, use merge instead of delete: it moves everything onto the record you keep.
Sharing a card#
Each card has its own web address. See Sharing records.
